About the Role
Supporting two senior executives and the wider team, this is a dynamic and hands-on position that will see you step beyond traditional EA responsibilities into a role that sits at the centre of the business.
You will play a key role in keeping both executives and the wider team organised, ensuring meetings, actions and deadlines are tracked and delivered, while also supporting across lease administration, legal documentation and broader property operations.
Key responsibilities include:
- Coordinating meetings, managing diaries and preparing agendas where required
- Taking action notes and tracking follow ups, deadlines and key deliverables
- Maintaining shared calendars including key dates, lease expiries and critical milestones
- Preparing lease summaries and cover sheets for review
- Coordinating execution of leases and legal documents (including DocuSign)
- Managing lease registration processes and tracking key deadlines
- Maintaining accurate lease registers including expiries, options and rent reviews
- Preparing and maintaining legal checklists across leases and agreements
- Tracking document progress and following up with internal and external parties
- Ensuring all executed documents are accurately saved, named and indexed
- Monitoring invoices and notices including rates, land tax and strata levies
- Coordinating with finance to track approvals and payments
- Identifying discrepancies and maintaining accurate records of outgoings
- Maintaining structured and well organised digital filing systems
- Updating central registers across leases, agreements and outgoings
- Organising historical documentation and ensuring easy retrieval of records
About You
- Experience as a Team Assistant, Administrator or Junior EA within a corporate environment
- Exposure to property, finance or professional services highly regarded
- Strong attention to detail and organisational skills
- Confident managing multiple priorities in a fast paced environment
- Proactive, solutions focused and comfortable taking ownership
- Strong communication skills and professional presentation
