This role is ideal for someone who’s organised, responsive and understands how to support executives with shifting priorities. You’ll be across complex scheduling, meeting prep, investor communications and travel, while also acting as a key link between these leaders and the broader business. If you’re someone who takes initiative, works with discretion and doesn’t miss the details, this role will suit you well. This role is 5 days a week in the office.
Key Responsibilities:
- Provide proactive and high-level administrative support to the COO and CIO, including complex calendar management, inbox oversight, and ensuring priorities are managed effectively across a fast-paced executive agenda.
- Prepare, edit and coordinate reports, board papers, presentations, and investment documentation with a high degree of accuracy and professionalism.
- Act as a central point of contact for the executives, managing internal communications and liaising with senior stakeholders, investors, consultants and project partners.
- Coordinate end-to-end logistics for meetings, site visits, board sessions and leadership events—including venue setup, AV/tech support, catering, and preparation of briefing materials.
- Manage domestic and international travel arrangements, often across multiple time zones, including itineraries, visas, and executive briefings.
- Process monthly expenses, track budgets, raise purchase orders and assist with general financial administration to support smooth operational flow.
- Build strong working relationships across the broader business, working closely with other EAs and support teams to ensure alignment and collaboration.
- Uphold confidentiality, discretion and a solutions-focused mindset, acting as a trusted extension of the executives you support.
- 5+ years of experience in a senior EA role, ideally within engineering, infrastructure, or investment
- A clear communicator with strong judgement, initiative and attention to detail
- Someone who’s confident working across priorities and navigating changing demands
- Highly organised, personable, and calm under pressure
