We’re working with a high-performing, values-driven investment firm that’s looking for an exceptional Operations & Executive Assistant to join their team. This is a newly created role that blends traditional EA responsibilities with operations and project support — ideal for someone who loves variety, is naturally proactive, and thrives in a fast-paced, high-trust environment.

This is a pivotal position supporting the executive leadership team while ensuring the day-to-day operations of the business run smoothly. You’ll be the go-to person for all things coordination, communication, and execution — partnering with internal stakeholders and external providers, and playing a key role in cross-functional initiatives.

Key Responsibilities
  • Provide high-level support to senior executives — managing diaries, travel, and meeting logistics.
  • Inbox and communication management, acting as a key liaison and ensuring timely follow-ups.
  • Prepare presentations, reports and documents with a high degree of accuracy.
  • Oversee operational functions including procurement, facilities, vendor management, and process improvement.
  • Work closely with investment, asset management and finance teams to support seamless business operations.
  • Assist with budget tracking, invoicing, and expense processing.
  • Coordinate internal projects, team initiatives, and company events.

You’re confident juggling competing priorities, managing senior stakeholders, and switching gears between high-level executive support and hands-on operations. Naturally proactive, discreet, and solutions-focused — you’re the kind of person who just gets things done, and does it well.
  • Minimum 3 years’ experience in executive support, operations, or administration.
  • Must be able to speak Mandarin
  • Strong organisational and time-management skills — you’re across the details and two steps ahead.
  • Clear and confident communicator, both written and verbal.
  • Tech-savvy with Microsoft Office, Google Workspace and ideally, project management tools.
  • Calm under pressure, solutions-focused, and highly self-motivated.
