- Non-Ongoing/Fixed-Term employee (direct with the government) paying $87,843 to $94,998 + 15.4% super + sick leave + annual leave
- OR via Capstone as an agency temp paying $51 to $61 per hour + super (no sick/annual leave)
The Organisation
Working for a federal government entity (operating under the Australian Government Department of Health), aimed at improving the safety and quality of healthcare nationally.
The Team
The Office of the CEO includes three staff; an Executive Officer, an Executive Assistant and Reception Officer – all directly support the CEO in delivering on the Commission’s operational and strategic objectives. The CEO’s office is very busy and high volumes of work. The CEO is hands-on, detail-oriented and very busy, so needed someone to anticipate her needs. This position will report to the Executive Officer.
The Role
This newly created role (Executive Assistant to CEO – APS 5) will be responsible for providing high level, day-to-day administrative and executive support to the CEO and the Office of the CEO.
Key Responsibilities include:
- Provide administrative support to the CEO including managing incoming calls, emails and general correspondence, booking travel and accommodation.
- Undertake diary management, drawing attention to matters of importance, and arrange travel where required.
- Actively anticipate the CEO’s needs including preparation of meeting agendas and briefings, drafting correspondence and presentations, taking meeting minutes and collating actions for follow up.
- Arrange executive and organisation wide events, meetings and events on behalf of the Office of the CEO.
- Undertake electronic document management using TRIM, monitoring and tracking of incoming documents to ensure correspondence is triaged and actioned accordingly.
- Provide secretariat support to meetings, committees and working groups as required.
- Maintain a range of databases including travel and contract registers.
- Process invoices and credit card expenses
- Undertake procurement (preparing Request for Quotes) where required.
- As required - performing front of office support functions, including reception duties and greeting visitors.
About You
The successful candidate MUST be an Australian Citizen and will have excellent judgement, high levels of personal integrity, plus strong organisational and coordination skills. Coupled with being an excellent communicator and demonstrated ability to build productive working relationships.
You will also have experience:
- working in the government sector
- in providing high quality administrative and executive support
- working within a complex, sensitive and fast-paced environment
- in writing for different audiences and in different formats
- in procurement, contract management and financial processing activities
- using systems such as SAP, TRIM and the Microsoft Office Suite
