Capstone's client is a prominent real estate and retail property group, specialising in the development and management of high-quality commercial and retail spaces across Australia. With a strong reputation for delivering innovative and sustainable property solutions, they work with some of the country’s most recognisable retail brands and occupiers. Their focus is on creating vibrant, functional environments that support growth, community, and long-term value. The Sydney team is collaborative, forward-thinking, and committed to excellence in every detail.

As the first point of contact for clients and visitors, you’ll play a key role in creating a warm and professional welcome to the office. Alongside front-of-house duties, you’ll also provide administrative support across HR and team assistant functions, helping with onboarding, events, and general coordination. This is a varied, people-facing role that suits someone who thrives in a dynamic, fast-paced environment. It’s ideal for someone transitioning out of hospitality or customer service, with clear opportunities for internal growth and development across the business.

Key Responsibilities
  • Greet clients, guests, and staff with a warm and professional welcome
  • Answer and direct incoming phone calls and manage the shared inbox
  • Maintain front-of-house presentation, ensuring the reception and meeting areas are always tidy and presentable
  • Manage meeting room bookings and coordinate room setups as required
  • Handle incoming and outgoing mail, deliveries, and couriers
  • Assist with onboarding new staff, including preparation of welcome packs and coordination of induction materials
  • Support internal HR initiatives and events, including staff celebrations and wellness activities
  • Provide administrative support to the broader team, including diary management, data entry, and document formatting
  • Coordinate office supplies, catering, travel bookings, and general facility needs
  • Help organise internal meetings, staff functions, and team-building events
  • Liaise with building management and external service providers as required
  • Monitor kitchen and communal areas to ensure a comfortable and professional work environment
  • Assist with expense claims, invoice processing, and filing
What We’re Looking For
  • A confident, friendly communicator with a polished and professional demeanour
  • Strong organisation skills and the ability to multitask with ease
  • A team player who thrives in a high-performing, people-focused environment
  • Previous experience in reception, office admin, HR coordination or a hospitality/customer-facing role
  • Someone eager to grow—this role offers excellent development opportunities and long-term career prospects
You’ll be joining a supportive, down-to-earth team where your contribution is truly valued, and no two days feel the same. This is more than just a front-desk role—it’s a stepping stone into broader opportunities across HR, operations, and team support. You’ll gain exposure to a well-regarded property group, working in a polished office environment that encourages growth, initiative, and collaboration. If you're looking for a role that blends people interaction with career development, this is the perfect place to start.
