Capstone is partnering with an iconic global real-estate investment and development firm to find an Executive Team Assistant & Office Manager based in Sydney CBD. You’ll be the operational linchpin combining high-level Executive support with hands-on office management to ensure a fast-paced, globally connected leadership team can perform at its best.
   
Key Responsibilities:  
Executive Team Support 
  • Manage complex diaries, travel itineraries and visa arrangements for senior leaders
  • Coordinate leadership-team meetings: set agendas, prepare papers, track follow-ups and action items
  • Draft and proofread correspondence, presentations, contracts and agreements
  • Organise property tours, client events and conferences across the APAC region
Office Management
  • Oversee day-to-day office operations: facilities, supplies, equipment inventory and vendor relationships
  • Serve as first point of contact for visitors and internal stakeholders
  • Support onboarding by liaising with People & Culture and IT for equipment and workspace setup
  • Manage office expense reporting, invoicing and tenancy matters
Operational & Compliance Support
  • Assist with corporate secretarial duties: statutory registrations, renewals and document collation
  • Facilitate electronic signature workflows, expense payments and compliance record-keeping
  • Coordinate team communications and maintain both manual and electronic filing systems 
What You’ll Bring
  • At least 5 years’ experience in a combined Assistant and office-management role
  • Exceptional organisational skills with the ability to prioritise calmly under pressure
  • High emotional intelligence and discretion when handling confidential information
  • Advanced proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel)
  • A proactive, can-do attitude and a genuine passion for fostering a positive team culture
