The Role
Reporting into the CFO, the role includes:
- Manage full function accounts payable (invoice processing, prepare and process supplier payments, reconciliations).
- Ensure smooth functioning of the AP department, manage, guide and mentor the AP officer and any new recruits within the AP department to ensure operational efficiency.
- Creditor Management – liaise with Project management team, vendors, internal stakeholders as required.
- Ensure data is collected and collated with supporting documentation per company policy for all invoices payable and ensure they are uploaded in Jobpac for processing within the stipulated deadlines.
- Oversee management of the AP inbox – ensuring items and cleared and actioned daily.
- Manage and ensure reliability of supplier reconciliations, identify discrepancies in information supplied and/or missing information.
- Ensure invoices received for payment are logged in Jobpac by 25th of the month, liaise with site personnel to collate the Construction Spend report and that the report is distributed as required.
- Prepare monthly AP report with adjustments on Work In Progress (WIP) closure, update regularly and real-time as and when payments are made.
- Prepare AP Payment Summary for approval, manage/ oversee processing of payments via NAB, process ad hoc payments during the month.
- Record and file relevant documentation, ensuring security and confidentiality is maintained.
- Assist with credit card processes and reconciliations.
- Excellent attention to detail, time management and organisational skills
- Prior A/P experience in the Construction sector is essential
- Customer service approach with excellent communication skills
- Jobpac experience is highly desirable or similar construction software
